Sales Administrator

Job Summary
Reporting to the Vice President / Controller, The Sales Administrator is responsible for the accurate and timely administration of all sales documentation and reports, in addition to other administrative duties.
Primary Duties and Responsibilities
The Sales Administrator performs a wide range of duties including, but not limited to, the following:
o Preparation or confirmation that all sales proposals are accurate and reflect required information
o Prepare and ensure all contracts sent to customers are accurate, complete and compliant with company contracts / policies; co-ordinate approval of any special language / term requirements
o Ensure all executed contracts are complete / unaltered prior to acceptance, or if changes applied ensure they are approved by senior management
o Ensure all sales representative reports are submitted on a timely basis and report any non-compliance to the National Sales Manager
o Review of Estimate Request Forms for completeness; maintain request log and submit approved requests to estimating
o Prepare / confirm all management reports are completed accurately and timely
o Custodian of Customer / Job files - ensure all documentation is maintained in files
o Distribution of customer requests to appropriate sales representative
o Provide reception relief duties
o Other administrative duties as assigned
o Special projects as required
Qualifications
Education & Qualifications
o Post secondary education in business / administration and/or equivalent experience
o Prior experience with contract review / administration preferred
Proficiency in the use of computers for:
o Word processing (Microsoft Word)
o Spreadsheets (Microsoft Excel)
o E-mail
o Internet
Personal characteristics
The Sales Administrator should be an effective verbal and written communicator, and should have strong organizational skills to set priorities, monitor progress and track details / data information / activities.
They should be able to work cooperatively and effectively with others to fulfill company expectations and resolve problems, and be confident and capable of working with both sales representatives and senior management to ensure resolution and compliance with company policies.
Experience
3 - 5 years business / administration experienceEstimated Salary: $20 to $28 per hour based on qualifications.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
